Information we may process

Depending on how you interact with us, we may process:

  • name, business email address, telephone number, role or job title and company details;
  • course interests, enquiries, bookings, learner records and customer relationship information;
  • communication preferences, unsubscribe or suppression records;
  • email engagement information, such as opens and clicks, where email tracking is enabled;
  • website and technical information needed to operate, secure and improve our services.

How we use information

  • to respond to enquiries and manage course bookings;
  • to deliver training, issue certificates and maintain training records;
  • to provide customer service, administration, invoicing and business support;
  • to send relevant training updates, public course dates or service updates to business contacts where appropriate;
  • to keep unsubscribe and suppression records so we do not accidentally contact people who have opted out;
  • to protect our website, systems and business records.

Business communications

We may contact business subscribers, named business contacts and existing customers with relevant training information, public course dates or service updates. This may be based on our customer relationship, a relevant business interest, consent, or a soft opt-in where that is required.

We treat sole traders, individuals and unclear partnership contacts more cautiously. Where consent or a soft opt-in is needed, we aim to record and respect that before sending marketing emails.

Email tracking

Marketing emails may use open or click tracking where enabled. This helps us understand whether campaigns are useful and improve future communications. Tracking can be disabled for campaigns or contacts, and recipients can unsubscribe or object to marketing communications.

Unsubscribe and suppression

Every marketing email includes an unsubscribe option. Unsubscribed or suppressed contacts are not emailed for marketing. We may keep suppression records so we can prevent accidental future contact.

Lawful basis

We may use personal information where needed for a contract, legal obligations, consent, legitimate business interests, customer administration, service delivery or protecting our systems. We apply this in a practical way and review contact status where the correct basis is unclear.

Sharing information

We only share information where necessary, such as with trainers, employers who book training, IT providers, payment and accounting providers, accreditation or regulatory bodies, professional advisers, or authorities where required. We do not sell personal information.

How long we keep information

We keep information only for as long as needed for training administration, customer support, accounting, legal, regulatory and business purposes. Suppression records may be retained to make sure an unsubscribe or objection is honoured.

Your rights

Depending on the circumstances, you may have rights to access, correct, delete, restrict or object to how your information is used, and to withdraw consent where processing is based on consent. These rights may not apply in every situation.

Contact us first at info@legacytrainingservices.co.uk if you have a privacy question or want to exercise your rights. You can also contact the Information Commissioner’s Office at https://ico.org.uk.
